This Privacy Policy explains how we collect and use personal information when you use UK Study English (“we”, “us”, “our”).

2. What this policy covers

This policy applies when you:

  • browse our website;
  • submit an enquiry or application form; or
  • otherwise interact with our services.

This policy does not cover third-party websites linked from our site. If you follow links to a school’s website, their policies will apply.

3. Personal data we collect

Depending on what you submit, we may collect:

  • Identity and contact details: name, email address, phone number, country of residence
  • Student details: age/date of birth (where provided), nationality, language level, preferences
  • Enquiry details: preferred city, course type, start dates, duration, budget, notes/special requests
  • Communications: messages you send to us and our replies
  • Technical data: IP address, device/browser information, pages visited, referral source (see Cookies section)

We aim to collect only what we need to process your enquiry and provide our service.

4. How we use your information

We use personal data to:

  • process and manage enquiries submitted via our forms;
  • share enquiries with schools where you consent (and where relevant to your request);
  • respond to questions and provide support;
  • improve our website and services;
  • maintain records of enquiries for operational and reporting purposes.

5. Lawful bases for processing (UK GDPR)

We rely on one or more of the following legal bases:

  • Consent – where you ask us to share your enquiry with selected and/or matching schools, or where you opt into marketing or analytics cookies.
  • Legitimate interests – to operate and improve the platform, prevent misuse, and maintain service records (balanced against your rights).
  • Contract (steps before entering a contract) – where you request information or a quotation to progress towards enrolling with a school.
  • Legal obligations – where we must comply with applicable law.

You can withdraw consent at any time (see “Your rights”).

6. Sharing your data

We may share your personal data with:

  • Language schools in the UK that you select and/or that match your preferences (where you consent);
  • service providers who support our website and operations (see below);
  • professional advisers where necessary (e.g., legal/accounting);
  • authorities if required by law.

Important: Once a school receives your enquiry, it will typically act as an independent data controller for the information it receives. You should refer to that school’s privacy policy for how they use your data.

We do not sell personal data.

Third-party service providers

We use the following third-party services to operate our website. These providers may process limited personal data (such as your IP address) in order to deliver their services:

  • Google Analytics (GA4) – website analytics. Only activated when you accept analytics cookies via our cookie banner. Data is processed by Google LLC (US). IP addresses are anonymised.
  • Google Maps – embedded maps on school pages. Your IP address and location data may be shared with Google LLC (US) when maps load.
  • Vimeo – embedded video content. Your IP address and usage data may be shared with Vimeo Inc. (US) when videos load.
  • Adobe Fonts (Typekit) – web font delivery. Your IP address is shared with Adobe Inc. (US) to serve fonts on each page load.
  • Cloudflare – content delivery network for icon fonts. Your IP address is shared with Cloudflare Inc. (US).

7. International transfers

Some of the service providers listed above are based in the United States. Where personal data is transferred outside the UK, we rely on one or more of the following safeguards:

  • the UK Extension to the EU-US Data Privacy Framework (for certified US organisations such as Google and Adobe);
  • UK International Data Transfer Agreements or standard contractual clauses; or
  • UK adequacy regulations where applicable.

8. How long we keep your data (retention)

We keep enquiry data only as long as needed for the purposes described above.

As a general rule:

  • enquiry records may be retained for up to 24 months to support follow-up, reporting, and service improvement; and
  • we may retain limited records for longer where needed for legal, tax, or dispute-resolution purposes.

If you request deletion, we will comply unless we have a lawful reason to retain certain information.

9. Your rights

You have rights under UK GDPR, including:

  • the right to access your personal data;
  • the right to correct inaccurate data;
  • the right to request deletion (in certain circumstances);
  • the right to restrict or object to processing (in certain circumstances);
  • the right to withdraw consent (where processing is based on consent);
  • the right to data portability (where applicable).

We take reasonable technical and organisational measures to protect personal data. No internet transmission is completely secure, but we work to minimise risk and limit access to authorised parties.

11. Cookies and analytics

Cookies are small text files stored on your device when you visit a website. We use cookies to operate our site and, with your consent, to understand how it is used.

Cookie consent

When you first visit our website, a banner asks you to accept or reject non-essential cookies. You can change your preference at any time by clearing your browser cookies and revisiting the site. Analytics cookies are only activated if you click “Accept all”.

Essential cookies (always active – required for the website to function):

  • ukse_cookie_consent – stores your cookie preference (accept/reject). Duration: 180 days. Set by: UK Study English.
  • wordpress_sec_*, wordpress_logged_in_*, wp-settings-* – WordPress session and preference cookies. Set only if you log in to the site. Duration: session or up to 1 year.

Analytics cookies (only set if you accept analytics cookies):

  • _ga – Google Analytics. Distinguishes unique visitors. Duration: 2 years. Set by: Google LLC.
  • _ga_[ID] – Google Analytics. Maintains session state. Duration: 2 years. Set by: Google LLC.

We use Google Analytics 4 (measurement ID: G-PB08BPJ26P) with IP anonymisation enabled. Analytics data helps us understand which pages are visited, how users find our site, and where we can improve. No advertising or remarketing cookies are used.

Third-party cookies (may be set by embedded content):

  • Google Maps – may set cookies when maps are displayed on school pages.
  • Vimeo – may set cookies when embedded videos are played.

These third-party cookies are governed by the respective provider’s cookie policy. We do not control these cookies.

We may update this policy from time to time. The “Last updated” date shows when it was last changed.
